We are looking for a "Administrative Assistant" for our customer who has established itself as a major player in “Professional Service”.
QALIFICATIONS:
• University Graduate,
• At least 3-5 years of experience in working as an assistant to a senior level role in a demanding and high paced environment, preferably at a law firm but flexible,
• Computer literate; extensive prior experience in Microsoft Office, with advanced level use for Microsoft Word and Outlook and at least intermediate in Excel and PowerPoint,
• Excellent communication, organization, and time management skills,
• Proactive, self-motivated, diligent and trustworthy,
• Punctual with a commitment to working overtime if required,
• A team player who is pleasant to work with and remain calm under pressure
JOB DESCRIPTION
• Answer all international and domestic phone calls, international and domestic, composing responses or redirecting as appropriate, alerting where further action is required and prompting when due,
• Meet and greet guests to the firm,
• Schedule meetings and conference calls with both local and international participants,
• Ensure the reception area and foyer is presentable at all times,
• Liaise with printers, couriers and coordinate with various office vendors,
• Build and maintain co-operative relationships both internally and externally, with vendors and colleagues of all levels,
• Sort and distribute incoming post and courier,
• Provide support to executive assistants to maintain contacts database,
• Distribute incoming faxes,
• Order office supplies and equipment when required,
• Perform data entry and filing activities,
• Handle confidential and highly sensitive information on a regular basis, with the utmost discretion,
• Update the company client tracking database with all due actions, events and matters, including the regular updating of client contacts and activities,
• Collaborate with executive assistants to provide excellent support to the Founding Partner,
• Support executive assistants with additional administrative tasks, as required
