We are looking for a temporary Office Asisstant for our global client operating in the “Coffee” industry.
 
Qualifications
 

  • Graduate from relevant departments of universities,
  • At least 2 years of experience in a similar position, 1 year is acceptable,
  • Proficient in MS Office programs,
  • Young, dynamic, eager to learn,
  • High skills in planning, organization, and follow-up,
  • Strong work discipline and representation skills,
  • Strong communication skills,
  • We are looking for candidates with a good command of English.
 
Job Description
 
  • Answering phone calls, making internal and external phone connections, receiving messages from callers, and solving problems using initiative,
  • Welcoming and directing visitors and guests to the company, organizing meeting rooms, offering coffee to guests,
  • Ensuring the reception is organized and presentable,
  • Tracking incoming and outgoing documents and parcels, delivering documents or parcels to the relevant department/person,
  • Monitoring the arrangement of meeting rooms, providing support in making reservations when necessary,
  • Coordinating travel for senior management and, when necessary, office/store staff (ticketing, accommodation, and visa processes), and following up on the process,
  • Organizing appointments for senior management when necessary, managing visitor traffic,
  • Filing documents related to responsibilities, managing the archiving process,
  • Assisting in company internal training, HR activities, and interview organization,
  • Managing administrative processes such as staff business cards, staff IDs, store personnel cash authorizations, and police station notification processes.
